Most corporate events do not fail on the day. They fail six weeks earlier, when an objective was never agreed, a budget was never phased, or a vendor list was never owned by one person. This checklist is the sequence our Bengaluru event team works through on every corporate event, launch and conference.

Eight to twelve weeks out: decide what the event is for

Before a venue is shortlisted, write one sentence describing what should be different after the event. A dealer meet that exists to shift sentiment is a different event from one that exists to announce pricing, even if the guest list is identical.

Fix the guest profile and headcount range next. Everything downstream — venue, catering, production scale, permissions — is a function of those two numbers.

Six to eight weeks out: venue, production and vendors

In Bengaluru, venue choice is as much a logistics decision as an aesthetic one. Load-in access, generator provision, parking capacity and the drive time from where your guests actually work will shape attendance more than the ballroom photographs will.

Lock the technical partner at the same time as the venue. A room that cannot rig the LED wall your creative depends on is a problem best discovered now.

Three to four weeks out: run of show and content

The run of show is the single most useful document in event management. It lists every cue, every speaker, every video roll and every transition against a clock, and it names one owner per line.

Plan content capture now rather than after. Photography and film crews briefed in advance produce an after-movie and an image library; crews added late produce coverage.

The final week and the day itself

Rehearse with the actual technical setup, not a laptop in a meeting room. Walk the guest journey from the car park to the seat and look for the friction that guests will remember more clearly than the keynote.

On the day, keep one person free of tasks. The event manager who is running a cue cannot also solve the problem nobody predicted.

After the event

Content is the difference between a one-day event and a quarter of communication. Edit the after-movie while momentum is live, publish stills within days, and debrief with vendors while detail is still fresh.
